Compliance

Federal rules changed. State rules changed. Your privacy notice probably didn’t.

If you haven’t reviewed your privacy notices this year, you are probably missing recent changes. If yours are ten or twenty years old, your patients and clients can tell.

Whether you need a HIPAA Notice of Privacy Practices, a state privacy notice, or both, we draft it for your organization, keep it current, and tell you when the rules change. From $395, with optional monitoring.

Two minutes to sign up — or read what changed first.

What you get

A notice written for your practice, not a template with your name in the header.

Medical, dental, counseling and behavioral health, optometry, physical therapy, chiropractic, and allied practices each face a different mix of requirements. A counseling practice has Part 2 exposure a general optometry practice usually does not. Your notice should reflect that.

Which do you need?

  • HIPAA Notice of Privacy Practices. Medical, dental, behavioral health, and other practices covered by HIPAA.
  • State privacy notices. Organizations that hold health or personal information outside HIPAA, such as law firms, schools, insurers, and fitness and wellness providers.
  • Both. Practices in states with their own health privacy laws, like Texas, and organizations operating across several states.
  • Not sure? Send us what you have. Our free Notice Check tells you which apply to you.

Monitoring at the federal, state, and local level, if you want it.

Add monitoring and we track HHS and OCR rulemaking, court decisions affecting existing rules, and state health privacy legislation in the states where you practice. You do not have to read the Federal Register.

Updated documents whenever something material changes.

With monitoring, a rule change that affects your notice means a revised document when it happens, not when someone next remembers to check.

Every format you actually need.

Posted lobby version. Website version. Patient handout. Plain-language summary. Effective dates and version history maintained, so you can show what was in force and when.

A short note explaining what changed and why.

Written for a practice manager, not a compliance officer. If a change requires action beyond the notice itself, such as updating an intake form or a business associate agreement, we say so.

How it works

  3. You get your notice.

Drafted for your practice, delivered in every format, ready for your counsel to review and for you to post.

  4. We keep watch.

Add monitoring and it runs continuously. Updated documents arrive whenever they are required.

The problem with your notice

Maybe it's on your website. Maybe it's printed on a piece of paper that your receptionist hands to patients when they arrive.

Your Notice of Privacy Practices is the only compliance document your patients, your state board, and the Office for Civil Rights can all read without asking your permission. It is posted in your lobby. It is on your website. It is handed to every new patient.

It is also, for most practices, the least maintained document in the building.

  • The template came from a professional association, a billing vendor, or a search result. It was accurate the year it was downloaded.
  • Nobody owns it. The practice manager assumes the attorney handles it. The attorney assumes it was handled at intake.
  • It only gets attention after something has already gone wrong.

A stale notice is not a filing error. It is a public statement about how you handle patient information that no longer matches the law or your practice.

Who this is for

Organizations that handle health or personal information and are too small for a compliance department.

  • Medical and primary care
  • Dental and orthodontic
  • Counseling, therapy, and behavioral health
  • Optometry and vision
  • Physical, occupational, and speech therapy
  • Chiropractic
  • Home health and allied services

In addition to HIPAA Notices of Privacy Practices, we also support state privacy notices, HIPAA authorizations, and consent forms for organizations that hold client healthcare records, such as law firms, academic institutions, insurance companies, and fitness centers.

What this is, and what it is not

We are direct about scope, because the alternative is a client who thinks they bought something they did not.

This is a service that keeps public-facing documentation current, drafted for your organization, monitored against federal and state change, and delivered in usable formats.

This is not legal advice, and Blackwood Operations is not a law firm. Your notice should be reviewed by your own counsel before you adopt it. Most of our clients find that review takes minutes rather than hours, because the drafting is already done and the reasoning behind each change is explained.

This is also not a full HIPAA compliance program. Your notice is one required element. Risk analysis, policies and procedures, workforce training, and business associate agreements are separate obligations. We will tell you plainly when something falls outside this service. If you want help with the rest, that is a different conversation and we are happy to have it.

Free Notice Check

Send us your current Notice of Privacy Practices. Within three business days you get a written review from someone who reads these every week.

No obligation, no card required. If your notice is in good shape, we will tell you that.

Send my notice for review

What the review covers

  • Whether it reflects the February 2026 Part 2 requirements
  • Whether it addresses the health privacy laws in your state
  • Whether it covers the required patient rights and contact information
  • When it was last revised, and what has changed since

Questions

If you are a HIPAA covered entity, 45 CFR 164.520 requires you to maintain a notice, make it available, and revise it when there is a material change to your privacy practices or legal obligations. The February 2026 Part 2 deadline applied to covered entities well beyond substance use programs.

Blackwood Operations Inc provides compliance and operations consulting to small and mid-sized organizations. Compliance is a document maintenance and regulatory monitoring service.
